How Business Gas Cards Can Help Save Money As a Diesel Fuel Fleet 19
May
Posted by TopAutos in Repair & Service on 05 19th, 2011

As a business owner with a diesel fuel fleet, you may find that finding a way to pay for diesel fuel is becoming harder than ever. The problem is not that there is less supply available, but rather that diesel costs more to manufacture and thus the price of this type of fuel is higher than traditional unleaded gas costs. However, this may not be as bad as you think. If you were to track your expenses using business gas cards, you may find that managing your business’ fuel consumption is easier than you realize.

The first step is to know where you are in gas consumption by tracking it. Business gas cards can help you to do this because each driver is given a specific card to use to pay for all fuel fill ups when they are driving. If you have a diesel fuel fleet, you likely need to ensure that your vehicles are working at their best and by tracking the initial use of fuel for a few days or longer; you can see exactly where their overall costs lie. This process is done for you by the fleet card itself. It will tell you exactly how much fuel efficiency your vehicle is getting at any time.

Once you have a baseline, it is time to start finding ways to better cut those costs. You can do this in a number of ways. For example, it is a good idea to focus first on finding a way to reduce the actual fuel used. This may mean ensuring that the vehicle is running at its best level possible. Maintenance can help to make this happen. The key is to focus specifically on the air filter, tires and the engine’s overall function. This will ensure that the vehicle is working at its best level possible.

Use your gas cards to track how your employees are using that fuel as well. You can do this in several key ways. First, you want to ensure that employees are getting the vehicle’s maintenance as it is necessary. You also want to ensure that the vehicle is running properly, which means drivers should focus on how they manage their actual fuel usage. Speeding up too quickly or driving during rush hour are common ways they could be costing you money.

In addition to this, know that diesel vehicles are efficient, especially the more modern versions. In other words, because they use less fuel to run, you may be able to see a significant savings by just getting the vehicles up-to-date mechanically. On the other hand, older vehicles that no longer function properly, or those that use too much fuel could hold your business down. Therefore, realize when it is time to replace older vehicles that cannot perform as they need to.

If you have a diesel fleet, you need to make changes to ensure that your vehicles are running at their best. The ideal way to do this is to have a tool to track fuel usage and maintenance, as well as driver performance. Business gas cards can help you to accomplish just that. Look at the specific benefits of putting this type of fleet fuel card into place within your organization. Find out how it can help you to save money on maintenance and on fuel costs, too. Most importantly, realize it can give you the level of management your business needs to go from running OK to running with fuel efficiency at the highest level possible.

Posted by TopAutos in Repair & Service on 04 15th, 2011

When you are trying to find the best tax deductions for your small business it makes sense to include your vehicles in your tax deduction paperwork. Use fleet gas cards to help record the items that are deductible for tax purposes. This way you will have a record of all of the vehicle expenses including fuel, repairs and tires. However, your vehicles are not the only thing you need to look at when you are trying to find the best tax deductions.

When trying to find the best tax deductions for your small business, you need to look at charitable donations as well. These can come in many different shapes and forms; however, each one is a tax deduction. These are very large deductions and can come in other forms than just money. If you were to donate old equipment to a school or church, you can use these as write-offs based on the value of the equipment that was donated. These will allow you to get rid of things you no longer need; providing mutual benefit to you and the people who are receiving them. Use these donations to help you get the deductions you want and need to improve your tax bill.

Look at other options as well. New equipment that was purchased for exclusive use in your business is also a tax deduction. New computers or office furniture, desks and chairs are deductible as well. You will also want to look at things such as expenses for other items. If you were to put an office in your home and then use it exclusively for your business, then you will be able to write that off as a tax deduction. This is something that can only be done once, however anything you out into it and things such as printer cartridges and all other office supplies are good tax deductions as well.

You should also consider the vehicles you provide for your employees or the vehicle you use for work. Things such as maintenance and fuel are deductible as well as mileage as long as it is work related. Driving the kids to school and going on vacation are not deductible. However if you are getting the car washed for work or you are putting in gas, you should pay for all of these things with the fleet gas cards you have. This will allow you to be able to differentiate between personal and work expenses for the vehicle. This is essentially helping you to track deductible items and allows you to keep all of the expenses in one place and easily accessible.

Look at all of the different possibilities and make sure to track them accordingly. There are different methods and ways to be able to do this and you need to determine which one will work best for you. If you maintain a level of organization, you will not be scattering all over trying to find the receipts you need each April. For your vehicle deductions if you use the fleet gas cards for all of the expenses, you will be able to record and know all of the expenses that are deductible well before you will really need them. Look at all of the different places where you can have deductions and make sure to report so you will have a productive and profitable tax season.

Top Tips for Using Gas Credit Cards to Keep Vehicles on the Road 22
Feb
Posted by TopAutos in Repair & Service on 02 22nd, 2011

There are several different ways that fleet managers and supervisors can manage their drivers and their vehicles to ensure maximum time on the road. Following these simple yet highly efficient tips will certainly cover all the bases and allow your budget to go as far as it possibly can when it comes to vehicle maintenance and cost savings within your department. Of course, the first consideration is using gas credit cards or fleet cards to track all purchases and calculate mileage.

Calculating mileage and fuel economy using gas credit cards or fleet cards makes sense for several reasons. Poor fuel economy is often the first sign of general maintenance problems in a vehicle, so accurate records can help with prevention of major engine repair costs. Gas credit cards do require a separate log for mileage that can be maintained by the drivers, which is a bit of extra work. Fuel cards, on the other hand, can be set to record odometer readings at each fill. These cards can only be used for gasoline or diesel purchases, depending on the type of card that you use.

Keeping a maintenance schedule that includes regular checks of tire pressure not only helps with fuel economy but it also cuts down on costly tire repairs and replacement. Poorly inflated tires are more likely to have excessive wear and more likely to become flat, which results in lost travel time and repairs.

Routing using a structured and logical formula for delivery and travel also saves money over the long run and helps to minimize wear and tear on vehicles. Planning routes to eliminate backtracking or multiple trips to the same general area can save thousands of dollars per month with larger fleets.

Loading trucks for sequential delivery and ensuring loads are packed together on the truck are two tips that will help to minimize mileage on each trip. Loads that are correctly packed on the truck don’t require return trips to deliver boxes or parts of the order that were mistakenly packed with other orders.

Checklists in vehicles that require a driver to manually check the vehicle for any possible problems and keep a record of these checks is a simple way to get drivers out and looking at the vehicle. This checklist should include verifying oil levels, transmission fluid levels, tire pressure, working headlights, signal lights and brake lights as well as washer fluid and working wipers. All these minor checks help to ensure the vehicle is safe to be on the road under any condition.

At the fleet garage routine tire rotation and regular oil and filter changes are also essential. If you don’t have a fleet garage, then working with a service station or repair shop to complete these routine maintenance programs will really help your vehicles stay on the road longer. Fuel cards are perfect for this type of situation since you can put maintenance charges on the cards without having to go through the invoicing or cash pay options.

Using a variety of strategies to keep your fleet vehicles on the road is an ideal strategy that is both time and money saving in the long run. If you use gas credit cards or fleet cards it is even more streamlined as built in checklists, logs or fuel card reports can be used to track and evaluate the overall performance and maintenance needs of each vehicle.

Stop Business Fuel Theft From Robbing Your Profits! 23
Sep
Posted by TopAutos in Repair & Service on 09 23rd, 2010

Not only is gas expensive to put into your fleet of vehicles, it is also expensive for your drivers. Business fuel cards can help minimize your losses.

Gas prices go up. Gas prices go down. The one thing your business can always be sure of is the fact that the fuel you use to transport your fleet will be a major part of your business expenses. The last thing you can afford is to experience regular losses due to business fuel theft from your employees, drivers or others with access to your company gas cards.

While it might have started with the apple and a snake, temptation can take on many forms. If you’ve entrusted your fleet drivers with a business gas card to keep your company vehicles gassed up and maintained, you run the risk of providing easy temptation for them to steal fuel for personal use. Personal use your business is going to end up paying for if you don’t find a way to curtail these illegal actions from taking place.

Enter fleet fueling network services. Essentially, instead of just issuing employees with standard credit cards which can be used to make purchases of anything sold at a filling station, business fleet cards can offer a wide array of protections for your company.

Fueling networks now have the capability to limit what your employees can purchase, when they purchase it, and with the right programs, even what vehicles they are purchasing fuel for. What better way to immediately stop the unauthorized sale of fuel your business pays for that gets poured into a personal vehicle?

Effective use of fleet cards can even prevent, or at worse, minimize the personal use of a company vehicle should that not be a part of the employee’s benefits package. Simply stated, the more driving they are doing for their own use, the more gas they will need to replace in their company vehicle.

By setting up notifications on usage and fuel amounts, you’ll quickly be able to determine when someone is using more than they should. Even the temptation of just using your vehicle and paying for their own fuel can be eliminated from the equation once you start using a quality fleet services program. How? By instituting odometer requirements every time your fleet cards are used, you get an immediate account for total number of miles the vehicle is traveling. At this point it’s simply a matter of mathematics to figure out a close approximation of the number of miles that vehicle should have traveled based upon the number of gallons of fuel that was purchased.

Obviously as employers we want to believe the best of our employees. Sadly, temptation can tease even the most honest folks into dipping into your company till from time to time. This can add up to significant business fuel theft, which continually chips away at your finances and harms your company’s ability to turn a profit.

By instituting sound fleet services, however, you can eliminate much if not all of this thievery. When all of your drivers are required to succumb to the usage of fleet cards and applicable reporting measures,  no one is singled out. This is just how you company does business. It’s smart. It makes sense. The better your business is run, the safer and more secure every one of your drivers livelihood becomes.

At the end of the day, isn’t this and turning a sound profit what your business should be about? Taking charge of your costs is just a smart way of running your company and ensuring everyone employed will stay employed.

Learning How to Change Oil 27
Oct
Posted by andik in Repair & Service on 10 27th, 2009

If you ask any of my friends, they would tell you that I am one of the least handy people that they know.  But in their next breath, they would tell you that at least I try to be handy, and that it is something that I am working on.

As a child, my father never really let me do anything, so I didn’t learn how to be hands on with many things.  This has meant that I need to go out on my own to try and be a handy person for my family, and that has been a challenge.

When it comes to cars, I am not very good either, but I have been trying my best to learn.  I can change the spark plugs, change tires, and I have been known to even change a fuse or two.  But the one thing that I have wanted to learn for a long time is how to change oil, and that is what I am doing today.

Instead of buying a book or asking a friend, I have been looking online for a guide on how to do it.  The beauty of the Internet is that chances are that I can find a video that I can watch and follow to get the job done.

Well, I am going to try it out, and I’ll report back as to how it went – wish me luck!

10 tips to save gas 14
Aug
Posted by TopAutos in Repair & Service on 08 14th, 2008

 1. Slow down - going that extra 5-10 mph faster doesn’t get you there that much quicker, but it does minimize the miles per gallon your car is getting.

2. Accelerate slowly - starting and stopping is what lowers your in-town mpg, and stomping the gas pedal only exacerbates the effect. Ease into the acceleration; there’s no hurry to get to that next red light, and you’ll be saving yourself dollars.

3. Keep your tire pressure up - you know how much harder it is to pedal a bike on a flat tire; cars work the same way.

4. Keep your car in shape - by keeping your oil clean, your air filter clear, and your tires properly balanced and rotated you’ll get more bang for your gas buck.

5. Don’t top off - it’s not like you’re sneaking those few extra drops past the money clicker, so don’t do it. It’s just going to spill out or evaporate anyway.

6. Don’t tailgate - when you’re always braking and accelerating because you’re too close, you’re wasting fuel. Maintaining a safe driving distance is not only safer, but cheaper.

7. Carpool - simple. Splits your bill in half.

8. Get the extra gear racks off the car - if you’re not using the big bike racks or ski boxes bolted up on your car, take them off and reduce the wind drag.

9. Combine your errands - go to a store or an area where you can do the post office run, get the milk, eat lunch, and get your haircut all at once without having to drive to each location.

10. Don’t drive across town for the best gas price - is it really worth it to drive ten miles out of your way to save 65 cents?
